Volunteer Needed for Silent Auction
Derby Days is fast approaching and we’re in need of a volunteer to run the Silent Auction!
We’d love your help.
We have all the tools and instructions you’ll need, so the groundwork is already set. We just need someone to coordinate the auction during Derby Days.
The auction runs from 11am - 1pm, with time required to setup before the parade around 8am. You’ll have time to walk over and enjoy the parade, before heading back to the park to get your final setup done.
Tasks involved:
Fill out bidder sheets with items that have been donated (we have a template ready to go)
Setup auction tables with the donated items, bidder sheets, etc.
Sign people up at the auction table by giving them a ticket number and adding their name and info into the bidder spreadsheet
Explain how a silent auction works to guests (if it’s your first time, that’s ok - we have instructions and it’s easy)
Play some fun music as the time limit winds down and people are racing to outbid each other on their coveted items
Gather winning bids and keep track of payments after the auction ends
You don’t have to deal with any payments. You give each winning bidder their bid sheet, which they take to the merch table and pay. They will bring it back with confirmation of payment, and you hand them their item. Simple!
It’s a fun process and a long tradition at Derby Days.
